Widya Mandala Catholic University Surabaya’s Library Service was established in order to help with the implementation of the Tridharma of Higher Education (Three Obligations of HE in Indonesia, which are teaching, research, and community service) by choosing, gathering, processing, taking care of, and providing informational sources to the parent institution in particular (the University) and the academic community in general. In compiling collections onto the library shelves, WMCUS Library uses the Dewey Decimal Classification (DDC) classification number.

VISION

Become a library that provides services oriented to the needs of users by using technology-based informational system.

MISSION

  1. Utilizing information technology in providing effective and quality services,
  2. Accessing the widest possible sources of information,
  3. Providing up-to-date information sources,
  4. Empowering informational sources that are combined now so they can be utilized as widely as possible by users,
  5. Producing as many library users as possible and empowering them so that they can utilize library resources effectively.

The library occupies 3 locations in Dinoyo Campus, Kalijudan Campus and Pakuwon City Campus.

The Library in Dinoyo Campus is located on the 4th and 5th floors of Agustinus Building, which consists of various rooms. Level 4 consists of Loans and Returns (Circulation), Catalogs Room (OPAC), Reading Room, Book Collection Room, Reserved Books Room and Thesis Room, Collection Room of Series Issues, Photocopy Room, Social Sciences Magazine Room, Technical Service Room, Digital Processing Room and Administration Room, while on the 5th floor are Post Graduate Library Room, Reference Room, Digital Library Room, Exact Science Magazine Room, Internet Room, Audio Visual Room. The Kalijudan Campus Library occupies the 1st Floor Albertus Building, while the Library in Pakuwon City Campus occupies the 4th Floor of the Pakuwon Campus Building.

The library is an academic supporting element that has 2 (two) parts, namely:

  1. Technical Services, which are in charge of organizing and processing library materials that have been processed in both printed collections and digital collections so that they can be used by users.
  2. Service Librarians, who are in charge of providing services of:
    • Circulation (borrowing, returning, and extending of books)
    • Collection of reserved books
    • Referential books
    • Journals and magazines
    • Catalogs
    • Internet
    • Digital Library
    • Audio Visual
    • Wi-fi service for library visitors/users
    • Newspaper
    • Free loan books

Use of other libraries

To provide broader services to library members, the library works together with :

  • Library networks of universities that belong to Association of Catholic Higher Education Insititutions (APTIK)
  • Forum of Libraries in Higher Education in East Java (FPPTI Jatim)
  • Forum of Libraries in Higher Education in Central Java (FPPTI Jateng)
  • Forum of Libraries in Higher Education in Yogyakarta Special Region (FPPTI Yogyakarta)

By using the SUPER Card issued by the Widya Mandala Catholic University Library, the card user can visit the entire College Library of the three members of the FPPTI. In addition to cooperating with state and private universities, the library also collaborates with the National Standardization Agency (Badan Standarisasi Nasional or BSN) in providing information and documents.

USERS/MEMBERS

LIBRARY MEMBERS

The so-called members are:

  1. A member is every student who is still active or registered as part of the academic community of Widya Mandala Catholic University Surabaya;
  2. To be able to use their rights, students who are still active are asked to show ID cards issued by Widya Mandala Catholic University Surabaya;
  3. Membership of library members ends when:
    • He or she is no longer recorded as part of the academic community of Widya Mandala Catholic University Surabaya;
    • The member is still violating the Library User Regulations after he or she had received three warnings after breaking regulation beforehand.

RIGHTS AND OBLIGATIONS

  1. Rights
    • Members have the right to
      • Using printed library materials in the library;
      • Using electronic library materials (repository, e-books and e-journal) both inside and outside the library;
      • Borrowing books based on the conditions stated in the Regulation.
    • Library visitors (not members) are only entitled to use library materials in the library.
    • Users can propose library materials or books that will be used to support lectures and final assignments.
  2. Obligations of Users:
  • Obeying library rules;
  • Maintain calm and quietness in the library;
  • Be polite in the library;
  • Maintain the integrity and cleanliness of library materials;
  • Respect the needs of other fellow library users.

Use of reading room/library materials

Every library visitor is asked to:

  1. dress modestly and to not use sandals;
  2. entrust the bag, jacket, map and items that are not needed in the locker provided with the condition of showing first their identity card (see the rules for using “Locker”);
  3. fill in visitor data that is available at the entrance;
  4. allowed to bring mineral drinking water (colorless) in clear packaging bottles;
  5. maintain cleanliness in the library;
  6. maintain an atmosphere of tranquility in the library;
  7. use the collection/catalog search tool to find the library collection needed by filling in the “keywords” and choosing the type of collection as needed (books S1, Post, CD-ROM, Diskette, Tapes, Thesis, Video Recordings) before heading to the shelf;
  8. show personal property library material to be used inside and when leaving the “reading room” to the librarian;
  9. put books that have been read/used on the table provided;
  10. Reference books (marked “R”), scientific work of students / lecturers, reserved books (marked as “Tandon”), collections of magazines and journals, can be borrowed with permission from the librarian;
  11. read freelance or bound magazines/journals only in the reading room;
  12. utilize online journal databases subscribed to Widya Mandala Catholic University Library in accordance with the applicable regulations.

BORROWING & SANCTION

How to borrow books

  • Members who would like to borrow books are obliged to:
    • Write their name and date of borrowing down on the recording paper, which is located on the back of each book;
    • Submit books and Student Identity Cards belonging to the borrower to library loan officers.

Amount and duration of borrowing

Students

Every bachelor and diploma level student is allowed to borrow a maximum of 4 (four) books for 2 (two) weeks, and for postgraduate level students are allowed to borrow as many as 8 (eight) books for 2 (two) weeks.

Lecturers and Education Personnel

Every teaching staff and education staff is allowed to borrow as many as 10 (ten) books for 1 (one) month.

Users who want to return and extend the book loan period, are required to:

  • take the book that will be returned or extended its loan time together with Student Identity Card (KTM) owned by the borrower to the circulation officer;
  • the period of borrowing of books can be extended as long as no one else has ordered the same book.

Sanction

The user is required to return the book loan in accordance to the return date, and the delay in returning the book loan is subject to the following sanctions:

  1. Any user who is late returning the book is subject to a fine of Rp. 500, – (five hundred rupiah) per day for every one book, and Rp. 1000 (one thousand rupiah) per hour for every single Reserved book;
  2. If a book is lost or damaged, the borrower must replace the same book. When the book is difficult to obtain, the borrower is advised to replace the book with the same subject or a newer edition or it can be charged 2 (two) times the price of the book when the person decides to pay the fine; Note: when borrowing a book, please check the integrity. If the book is broken, submit it back to the loan officer.
  3. Any user who does not comply with the obligations is imposed:
    1. The first warning, sent via a Warning Letter I;
    2. The second warning was sent via a Warning Letter II, with copies to the Vice Chancellor I, the Dean, and the parents;
    3. The third commemoration, was sent via a Warning Letter III, with copies to the Vice Chancellor I, the Dean, and the parents;
    4. Sanctions for revoking rights as members, until the person concerned fulfills his obligations as a member of the library

CODE OF CONDUCT REGARDING COLLECTION OF AUDIO VISUAL

  1. All Audio Visual Collections can be used in the Audio Visual room.
  2. For educational purposes, some Audio Visual collections can be copied by users with the help of the Library Officer, such as:
    1. CD Sample
    2. Supplemental CD that is part of magazine or journal
    3. Supplemental CD to a book that is also the electronic version of the book
  3. Any damage or loss of equipment or Audio Visual collection caused by a user is the responsibility of the user.
  4. Sanction

If a violation occurs by the user in connection with the use of equipment and the Audio Visual collection, the user will be subject to sanctions in accordance with the type of violation:

  • Damaging equipment
    • Light damage: replace repair cost
    • Severe damage: replace with new equipment
  • Losing equipment/collection
  • Change with the same equipment/collection or fine 2 (two) times the price of the equipment/collection.

CODE OF CONDUCT REGARDING THE USE OF DIGITAL LIBRARY

The facility of “Digital Libray” (http://digiltal.perpus.wima.ac.id) aims to support academic activities (teaching and learning), especially in the execution of final assignments and other academic tasks. In order for the facilities in this library to work properly, the following rules are required:

  1. Usage of the “Digital Library” is only given to students of WMCUS and Secretary of Academy of Widya Mandala Surabaya.
  2. Users of the “Digital Library” are not allowed to:
  • Change network configuration without the knowledge of both hardware and software managers;
  • Edit/change data systems and program systems that exist in networks/servers/workstations without authorization;
  • Perform hacking of trial and error on networks and network systems;
  • Play games or other things that are not related to the teaching and learning process;
  • Turn off any computer without permission from library officer.

Sanctions regarding using “Digital Library”

Users of the Digital Library Room that are caught playing games or doing other non-academic related activities will be asked to leave the Digital Library Room.

CODE OF CONDUCT OF USING LOCKER

Widya Mandala Catholic University Library in Surabaya provides a locker as a bag storage area. The use of locker is arranged as follows:

  1. Bag storage services in lockers are only given to library visitors.
  2. Bag storage is only served during library opening hours.
  3. Users of bag storage services are required to request a locker key to the officer, after filling in the required data.
  4. Valuable items, chemicals and money are not allowed to be kept in a locker.
  5. Loss of valuable items and money stored in lockers is not the responsibility of the library.
  6. The library does not accept any complaint about the loss of goods (including valuables and money) stored in a locker.
  7. The locker usage time limit is a maximum of 2 (two) hours and can be extended.
  8. How to use locker:
  • show the valid Identification Card;
  • fill in the required data;
  • receive a locker key from library officer
  1. Sanction: users who are late in returning a locker key will be subject to the following penalties:
  • Rp. 1000,- (one-thousand rupiah) per hour for every hour that the library is open;
  • Rp. 5000,- (five-thousand rupiah) per day;
  • Rp. 5000,- (five-thousand rupiah) for locker users who turned out not to be library visitors;
  • Damage and loss of a “locker” key is the responsibility of the user, and the person concerned is subject to a fine of Rp. 25,000 (twenty-five-thousand rupiah).
  • In addition to borrowing lockers, visitors to the library can take advantage of special (clear) bags for visitors who carry large items.

Information sources provided by the library include:

  • Online Public Access Catalog (OPAC)

The Online Public Access Catalog (OPAC) can be accessed through http://katalog.wima.ac.id. An online catalog is a means of tracking library collections that can be accessed online. The accessible collection consists of textbook collections, final assignment collections, proceedings, audio visual collections..

  • Digiltal Library

Digital library can be accessed through http://digilib.wima.ac.id. The Digital Library contains collections of final assignments and scientific works that can be accessed in full text.

  • Jurnal Online Unika Widya Mandala Surabaya

An online journal can be accessed through http://journal.wima.ac.id. The online journal contains journals published by Widya Mandala Catholic University Surabaya and can be accessed in full text.

  • APTIK (Associations of Catholic Universities) Digital Library (ADL)

ADL can be accessed through http://adl.aptik.or.id. ADL is a digital library that contains all collections owned by members of the Association of Catholic Universities throughout Indonesia. The collection consists of books, proceedings, scientific works, final assignments, audio visuals, magazines and journals. For the collection of final assignments available in full-text form which can be downloaded. Before downloading the full text file, the ADL visitor must be registered first. It is a free registration for ADL members.

  • E-Books

In addition to printed books, the library also has books in electronic form that can be accessed or downloaded for free. To be able to access the library’s e-books, you can access via http://ebooks.cambridge.org

  • Database Online

This is an online database subscribed by the Minister of Higher Education (DIKTI) to Widya Mandala Catholic University in Surabaya. There are 2 (two) online databases that can be used by users:

  • PROQUEST

It can be accessed via: http://www.proquest.com/pqdweb

  • GALE

It can be accessed via: http://infotrac.galegroup.com. To be able to access the online database, a user must use a username and password. The username and password can be obtained at the library.

INTERNET

This internet access facility aims to support academic activities (teaching and learning). In order for this facility to work well, the following rules are needed:

  1. Internet access users are only given to students of Widya Mandala Catholic University of Surabaya and Widya Mandala Academy of Secretary Surabaya.
  2. Internet access users are not allowed:
    • Change network configuration without the knowledge of both hardware and software managers;
    • Edit/change data systems and program systems that exist in networks/servers/workstations without authorization;
    • Perform hacking of trial and error on networks and network systems;
    • Play games or other things that are not related to the teaching and learning process;
    • Download files on a computer hard disk without the permission of the officer;
    • Bring food and drinks in the internet room;
    • Turn off any computer without permission from library officer.
  3. Only 1 (one) internet user that can access each computer.
  4. Internet access users are expected to be calm in the internet room.

Requirements   To be able to use internet access, the conditions are as following:

  1. Only for students of Widya Mandala Catholic University Surabaya and Widya Mandala Academy of Secretary Surabaya.
  2. Fill in the data information of internet users that have been provided in front of the internet room (at the library entrance) by showing the Student Identity Card.

Time and Length of Use   The duration of use of internet access is a maximum of 1 (one) hour per day or 4 (four) hours per week for each student. Internet user sanctions:

  1. Internet access users who are found to play games, chat or do other unnecessary things will be asked to leave the internet room .
  2. When internet access users are not in the library when their turn/time comes up, his or her internet access will be given to other users.

Usage Schedule of Internet  Campus Dinoyo Library Internet Usage Schedule is from 08.00 to 19.00 local time.

ALUMNI

Alumni can take advantage of the Library facilities only to read in place and make photocopy by showing the Alumni Card issued by Widya Mandala Catholic University Surabaya.

Dinoyo Campus  Monday – Thursday : 08.00 – 20.00, Friday : 08.00 – 10.30 (closed for Mass at 10.30); then Open again : 12.00 – 20.00

Graduate School Library Monday – Friday : 16.00 – 20.00

Kalijudan Campus  Monday – Thursday : 08.00 – 16.00, Friday : 08.00 – 10.30 (closed for Mass at 10.30). then Open again : 12.00 – 16.00  

Pakuwon City Campus  Monday – Thursday : 08.00 – 17.00; Friday : 08.00 – 10.30 (closed for Mass at 10.30); and then Open again : 12.00 – 17.00.

Visitors from outside the academic community of Widya Mandala Catholic University Surabaya and APTIK are permitted to visit library from 14.00 to 17.00 local time.
